Why a formal damage report matters

A written, dated and signed report is the only admissible evidence in case of dispute with a guest, platform (AirCover, Vrbo) or to claim a deposit. Without one, your request will be rejected for « insufficient evidence ».

How to use this report

Run a check-out inspection

Inspect each room as soon as the guest leaves, ideally with our inventory checklist. Photograph every damage with a ruler or reference object for scale.

Document each damage

For each: room, precise description (size, stain type, broken item model) and estimated cost. Attach a photo and ideally a professional quote if cost exceeds €100.

Total and print

The generator sums the costs and produces a PDF with date, signatures and numbering. Print it or save as PDF to send.

Notify the guest

Send the report through Airbnb messaging (timestamped proof) along with the photos. Give 48h to contest before triggering reimbursement.

Capture via your deposit

If your LivretAccueil deposit is active, trigger capture (full or partial) attaching this report. Otherwise file an Airbnb AirCover claim within 14 days after check-out.

Frequently asked questions about the damage report

How long do I have to file a damage report?

AirCover (Airbnb) requires 14 days after check-out or before the next guest arrives (whichever is shorter). With a LivretAccueil deposit, you have up to several months to capture, but document the damage as soon as found.

Are photos required for a report to be valid?

Yes. Without dated photos, AirCover and most insurers reject the claim. Photograph each damage from two angles with a reference object (ruler, coin). Keep originals unmodified.

Does the guest have to sign the report?

Ideally yes, but in practice the guest has often already left. In that case send via Airbnb messaging (timestamped) and give 48h to contest. With no reply, silence equals tacit agreement in most jurisdictions.

How do I price a damage?

For small items: like-for-like replacement price (Amazon, IKEA). For major damage (furniture, appliances): professional quote or invoice for the actual replacement. Keep all receipts.

What's the difference with a check-out inventory?

The inventory checklist documents the entire property (each item: new, used, damaged). The damage report only focuses on costed damages chargeable to the guest. They complement each other.

Can extra cleaning be charged to the guest?

Yes, if cleaning clearly exceeds the standard (party, smoke, vomit, undeclared pets, fouling). Attach your cleaner's invoice with the surcharge and the specific reason.
